Position: Videoconference (VC) Event Coordinator Reporting to: Director of Operations
Industry: Not for Profit, iCCAN Hours of Work: 8:30 am - 4:30 pm
Some overtime may be required.
Compensation: $50,000-$55,000/yr Location: South Edmonton

Summary of Duties:

The purpose of the Videoconferencing (VC) Coordinator is to coordinate all iCCANVC events and programming and ensure quality control of activities and processes of the organization are followed.

This position will also contribute to the development of organizational policies & procedures, marketing plans, overall programming, and ongoing scheduling.

General Responsibilities:

Attend stakeholder/client meetings and work with other organizations and content providers that support the mandate of iCCAN;

Jointly oversee the VC Administrative Assistant;

Work with content providers and organizations to finalize agreed upon plans for event and program offerings;

Support the iCCAN community by performing such tasks related to VC Events and Programs such as the assessment, planning, implementation, facilitation, tracking and day-to-day operations;

Work with management to help address changes in the iCCAN community and develop a learning culture of use.

Working Conditions

  • The office environment is professional or business attire;
  • The hours for this position are generally from 8:30 am to 4:30 pm; however a semi-flexible work arrangement is possible with the approval of the Director. Overtime is approved in advance by the Director;
  • This is a fast paced environment, and this position requires the ability to juggle a number of competing priorities;
  • This position is diverse in nature and requires the ability to multi-task and ability to assess issues, determine appropriate action, and implement within short time frames.

Knowledge, Skills and Attitudes

  • Exhibits exceptional administrative and organizational skills, with attention to detail and a commitment to completing every task with 100% accuracy;
  • Demonstrates clear and effective letter writing skills in order to communicate with clients, content providers and stakeholders;
  • Can clearly communicate arising issues / concerns in writing to counterparts and directors and respond quickly and effectively to their verbal inquiries;
  • Intermediate ability to use
    • Microsoft Outlook for email management, filing and printing capabilities.
    • Microsoft Outlook for calendar scheduling and task manager.
    • Microsoft Windows Explorer for document management purposes.
  • Advanced ability to use
    • Microsoft Word to create document templates.
    • Microsoft Excel to use for Program Planning and tracking projects.
  • Strong capacity to learn new software quickly and effectively and accurately utilize an in-house proprietary dbase to provide administrative support to the team during sales and event registration processing;
  • Able to work independently and as a positively contributing co-supervisor of a busy team within a larger team;
  • Displays a consistent ability to follow-up with staff, clients, content providers and, stakeholders to ensure resolution of issues and that deadlines are met.
  • Strong scheduling skills, using software as appropriate, to deal appropriately with volumes of work;
  • Exceptional customer service skills. Ability to deal with dis-satisfied clients/stakeholders and achieve resolution. Can represent iCCAN in a professional manner when dealing with both external and external stakeholders/clients;
  • Ability to troubleshoot a wide variety of issues, generate a range of solutions and decide upon appropriate and effective action;
  • Utilizes strong critical thinking skills to identify issues, generate solutions and plan appropriate actions.

Required Qualifications

  • Diploma in Business Administration or Management or equivalent experience;
  • A minimum of two years of experience working in an office environment with customer service responsibility.

Assets (but not required):

  • Knowledge of videoconferencing technology;
  • Experience in and with the voluntary sector;
  • Experience with web based technology.
